Position Overview
The Facilities Specialist will oversee all activities related to the maintenance of our facilities in El Coyol, Costa Rica. This position will act as the Global Computerized Maintenance Management System (CMMS)/Work order system administrator, BMS administrator and will support other Facilities related activities.
Additionally, the Facilities Specialist will support facilities and work cross-functionally to resolve technical problems related to the Quality Management System (QMS), implementation and revision of Facilities Management SOP, work instructions, forms and other related scopes, coordinating and supporting Facilities related activities. Participates in decisions on scope of work, risk management, design changes, process improvements, and implementation of revised specifications. Supports or provides solutions to broad problems, accomplishes assignments of various complexity, develops protocols for design, and/or process activities (including those related to verifications or validations), determines criteria and subsequently generates summary (or final) reports. Participate and bring support during audit processes as Facilities SME. Projects execution support from planning and QA standpoint.
Essential Job Functions
Responsible for the work order system: ensure proper categories and classification, distribution of work orders (internal and external), modifications to work order re-assignment or re-direct as required, summary reporting and closeouts for reactive and preventive work orders.
Identifies opportunities to improve use of the systems, including process flow improvements, module integration, meeting custom reporting needs, etc.
Provide support to management and facilities staff regarding documentation, process controls, data feedback systems, and best quality practices.
Runs and distributes Facility & EH&S trend reports (work order tickets, scheduling volumes, etc.).
Revise and verify that records are executed accurately and accordingly with QMS requirements.
Assists the facilities management team by coordinating with vendors on special projects as needed and coordinating all operations initiatives (e.g. signage projects, special inspections, data collection).
Audits system, preventative maintenance programs, and facilities QMS related activities on an on-going basis.
Participates on nonconformance reports elaboration, root cause analysis and recommends corrective action.
Assists the facilities management team by coordinating with cross-functional areas and stakeholders on works planning and reporting.
Maintains compliance documentation for ISO, EHS, etc., including records/logs of regulatory actions.
Prepares documentation for development studies, validation protocols and reports, quality plans, and inspection plans.
Practices company safety, quality policies and procedures.
Maintains and organizes records of facilities QMS related registers and documentation.
Onboards new vendors as needed. Executes internal and external training related with WI´s, SOP´s and related forms.
Assists management and staff with CAPA´s, NC´s, DCO´s, QPL´s, among others.
Supports requests associated with Facility audits. Participates and supports facilities team during audits and inspections from internal or external agents.
Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and a service orientated perspective.
Review and understand all applicable Service Level Agreements.
Ensures accuracy and timely updates to all database files (contacts, contracts, vendors, landlords, emergency files, etc.).
Coordinate and lead revision or creation of SOP´s, WI´s, and forms related with Facilities operation scope.

Requirements
Bachelor’s degree preferred or equivalent experience, Industrial Maintenance, Mechanical or Industrial Engineering.
1 to 3 years of work experience in Facilities, at least one year in the medical devices
Work experience as a CMMS/Work Order administrator
Knowledge of facilities management operations
Familiarity with office equipment & security systems
Strong Knowledge of Excel, Outlook, Word & PowerPoint
Strong written and verbal communication skills
Ability to work in a fast-paced environment while managing multiple priorities
Operate as a team and/or independently while demonstrating flexibility to changing requirements
