Job Description:

Business Support Sepcialist

Location.: Belgrade

Full time contract

The Business Support Specialist is responsible for the support with all matters related to administration, event planning and admin office task coordination in the local company and to departments within the company based on supervisory instructions.

Essential duties and responsibilities:

  • Executes, develops and coordinates critical processes related to office and business administration.
  • Supports administration, event planning and facilitates key business internal and external events. Develops and executes a plan for improving the quantity and quality of administration and other office tools and databases. Identifies ways to shorten the process for identifying improvements of the on-the-job processes.
  • Supports Commercial, Medical Affairs Team, HEMAR Team and Patient Engagement and GA team in events planning and facilitates key business processes in Ariba/eMarket Place.,
  • Supports Medical Affairs Team, coordinates critical processes related to Medical Education events
  • Coordinates dedicated tasks and projects supporting Country Director & Commercial Lead
  • Maintaining up-to-date status of legal documents

Other features of the job:

  • Accurate, timely, compliant work and task follow up;
  • Ethical behavior in line with J&J’s Credo values is required;
  • He/she should have up-to-date knowledge and keep existing company procedures and related rules; detailed knowledge of HCBI SOPs and relevant processes is a must.
  • Ensuring safety reporting requirements (timely AE/PQC reporting) as set out in company policies and SOPs (Standard Operating Procedures) are met and appropriately managed when planning and executing projects and contracting vendors
  • Ensuring HCC and legal requirements are fully understood, appropriately managed and complied with when planning and executing projects and contracting vendors
  • Ensuring inspection readiness with respect to personal training compliance, and availability of a recent CV and individualized job
Requirements :
  • Education: University / Bachelor’s Degree or Equivalent, preferably in a relevant business-related discipline
  • Experienced in: project management and executive administration (min.4 years)
  • Excellent interpersonal, partnering and negotiation skills
  • Location and mobility: 80% local office based/ 20% travels
  • Positive attitude to change if needed, ability to challenge "status quo"
  • Excellent communication skills (oral, business writing, presenting and listening)
  • Native local speaker and fluent English knowledge of both spoken and written,
  • High level of ethical standards in business
  • Honest, trustworthy personality
  • Ability to navigate and produce results in a global, matrix organization, strong cross-departmental support, interdisciplinary approach
  • Strong customer focus and service orientation
  • Pro-active and goal oriented thinking
