This is a duration based role for 6 months.
In accordance with defined Quality Standards and CSA requirements, the DePuy Synthes Loaner Coordinator is responsible for the compliant processing of complex surgical instruments in preparation for sterilization and re-assembly of pre-established sets. In collaboration with Inventory Planning, Marketing, Sales, and Finance, the DePuy Synthes Loaner Coordinator is responsible for the execution of instrument and inventory set building and deployment activities.
Key responsibilities:
Quality Compliance:
- Support the development, implementation and enforcement of DePuy Synthes Loaner Standard Operating Procedures policies and procedures. Ensure that DePuy Synthes Loaner processes are managed in accordance with Global and Local Quality Standards and CSA requirements. Ensures appropriate utilization of protective equipment and tools, to avoid potential exposure and contamination of hazardous materials.
- Track all process performance; monitor and record a variety of records to demonstrate execution of processes with zero deviations.
- Escalate appropriately all the deviations from the SOPs. Executes non-conformance process when appropriate. Participates in all corrective actions to ensure sustainable quality compliance.
- Participate in audits as required.
Customer Facing Responsibilities
- DePuy Synthes Agent Support
- Coordinate with DePuy Synthes agents to provide implants and instrument to support hospital and surgeon requirements.
- Identify and resolves issues related to set availability and returns.
- Collaborate with US Logistics and JJMC Logistics to provide alternate solutions when Canadian sets are not available.
- On Call 24/7 support for all DePuy Synthes businesses.
- Set Deployment
- Collaborate with the DePuy Synthes Loaner team, Agents, and Marketing to coordinate set delivery at customer locations.
- On Call 24/7 support for all DePuy Synthes businesses.
- Interact with OR nurses and SPD staff at the hospitals to ensure proper handling of DePuy Synthes implants and instruments.
- Update SAP / myMediset and I2R workflow system to reflect set deployment activity.
- Ensure that orders are processed with urgency and accuracy on a daily basis.
Process Management and Execution
- Bill of Material Maintenance/Review.
- In collaboration with marketing, maintain accuracy of Bill of Materials (BOM’s) for Instrument and Implant sets.
- Maintain Instrument Set Picture Data Base.
- Instrument Supply Management.
- Maintain physical and system records of work in process (WIP) and/or unpackaged/excess. instrumentation.
- Set Building.
- Collaborate with Marketing, Regulatory Affairs, Planning and Finance to identify set building requirements.
- Develop and prioritize the set build schedule.
- Execute physical receipt, unpacking and set construction in compliance with established BOM’s and specific order requirements.
- Execute fixed asset and inventory transactions in SAP/myMediset and I2R workflow systems to reflect set build activity.
- Expedite missing or late components in collaboration with Planning.
Technical Expertise
- Processing and Reprocessing of Complex Surgical Instruments, utilizing specialized equipment (washers/disinfectors).
- Disassembly of surgical instruments.
- Manual washing and use of washers.
- Re-assembly of sets from all specialties.
- Monitoring all reading and error codes.
Other Duties
- Monitor equipment and initiate service calls as necessary. Build and maintain relationships with the service technicians of equipment vendors: Steris, Siemens, etc.
- Drive or participate in DePuy Synthes Loaner projects and initiatives in alignment with Operations and Franchise imperatives.
Required Qualification and Core Competencies for the role:
Relevant knowledge and experience
- Minimum 1 year experience in a Physical Distribution Environment.
- Results and performance driven.
- Ability to work independently and without direct supervision, demonstrating a high sense of urgency.
- Demonstrated experience in roles requiring high attention to detail.
- Must be flexible and have the ability to rotate through various roles within the department.
- Ability to work and effectively manage priorities in a dynamic and fast paced environment.
- Must be co-operative, alert, accept directions and work collaboratively with team members.
- Knowledge of Surgical Instrumentation and Sterile Processing Operations is an asset.
- Experience working in an Orthopedic Distribution Environment is preferred, but not required.
- Strong verbal and written skills given heavy interaction with multiple stakeholders.
- May be required to travel between locations.
- May be required to carry pager for 24/7 on call support.
Technical competency requirements:
- High School Diploma required; Post Secondary Education preferred.
- SAP or equivalent ERP system knowledge required in the areas of inventory management and distribution.
- Intermediate working knowledge of MS Office suite of products (Excel, Word, Outlook)
