Johnson & Johnson Innovative Medicine is recruiting a Senior Administrative Assistant to provide comprehensive administrative support to a Vice President and designated members of the leadership team. This role is critical to enabling leadership effectiveness by proactively managing priorities, coordinating complex business activities, and serving as a trusted partner to leaders and key stakeholders.

The successful candidate will thrive in a fast-paced environment, demonstrate exceptional judgment and discretion, and possess strong organizational, communication, and relationship-building skills.

Primary Responsibilities


Executive Support

* Manage a highly complex calendar with a strong focus on prioritization, efficiency, and alignment to business objectives.
* Coordinate domestic and international travel arrangements and associated logistics.
* Prepare and process expense reports in accordance with company policies.
* Support meeting preparation, including agendas, materials, logistics, and follow-up actions.
* Track leadership action items and follow through to completion.

Business Operations & Coordination

* Serve as a liaison between the Vice President, leadership team members, and key cross-functional stakeholders.
* Coordinate leadership meetings, off-sites, town halls, and special events.
* Support organizational communication efforts and ensure timely dissemination of information.
* Maintain confidential files, records, organizational documents, and business information.

Administrative & Project Support

* Assist with department projects, operational initiatives, and business processes.
* Develop presentations, reports, and correspondence using information from multiple sources.
* Coordinate onboarding activities and support organizational transitions as needed.
* Manage purchase orders, vendor interactions, and selected budget-related activities.

Collaboration & Relationship Management

* Partner closely with administrative colleagues across Oncology and Johnson & Johnson Innovative Medicine.
* Build strong partnerships with Human Resources, Finance, Communications, Commercial, Medical, and other support functions.
* Act as a trusted point of contact for internal and external stakeholders.
* Foster a collaborative, professional, and service-oriented environment.

Qualifications

Required

* High school diploma or equivalent required.
* A minimum of 4 years of administrative support experience supporting senior leaders in a complex corporate environment.
* Proven experience managing executive calendars, travel, meetings, and expenses.
* Strong organizational skills and exceptional attention to detail.
* Demonstrated ability to manage multiple priorities with speed and accuracy.
* Excellent written and verbal communication skills.
* Ability to handle confidential and sensitive information with discretion.
* Proficiency with Microsoft Office applications including Outlook, PowerPoint, Teams, Word, and Excel.

Preferred

* Experience supporting Vice President-level or senior leadership team members.
* Experience in healthcare, pharmaceutical, or highly regulated industries.
* Strong project coordination and event planning skills.
* Experience interacting with senior leaders and cross-functional teams.
