Job Description:

Position Summary

The position will be part of the Bogotá Capability Center organization. The Supervisor (or Payroll Lead) role should have strong HR or Finance operation experience focused on timeliness, accuracy, and compliance of Payroll and/or Time Management operations. The Sr. Supervisor - Services oversees Level 2 payroll support and master data integrity. You’ll manage payroll-related inquiries and cases (wage details, claims, employment verification, reports, missing payments, one-time payments, etc.), drive master data audits and corrections, validate NA payroll interfaces, and provide stakeholder reporting. You’ll lead issue resolution, partner with business units, and drive continuous improvement to ensure timely and accurate payroll delivery. This role will also be responsible for review, validation and analysis of results and reports. You will also facilitate and have tactical responsibilities in the areas of Incident and Change management, Continuous Improvement initiatives, digital capabilities project deliverables and system upgrades. You will follow J&J Global Services tools, procedures, and guidelines in discharge of your day-to-day duties. Strong collaboration, adaptability and time-management are critical for this role.

Key Responsibilities: Payroll Lead

  • Ensure payroll-related data from Company internal applications interfaces into the payroll system before payroll deadline.
  • Manage process of accounting, payments, Time & Attendance, Long Term incentives, as part of Payroll.
  • Perform stakeholder management, promote and sustain strong partnerships. Interact with the different areas of business to identify needs and turn into solutions. Being a key partner and advisor.
  • Leading process reviews, continuously looking – and turning into actions - improvements opportunities to leverage overall efficiency, effectiveness and employee experience.
  • Serve as a Payroll lead for the different phases of the project like testing, data management, process documentation etc.
  • Provide expertise on payroll calculation process with third-party payroll provider.
  • Manage cross-areas and cross-countries payroll to have an effective operational model in compliance with company policies as well as statutory and legal requirements.
  • Ability to perform reporting and remittances such as month end, quarter end and year end payroll returns.
  • Ability to perform reporting and reconciliation.
  • Executes, in accordance with globally established standards, processes for SOX compliance, internal controls, and required regulatory/statutory requirements (including payroll record data maintenance).
  • Maintains a high degree of confidentiality, data protection assurance, conformity with J&J policies, procedures, external regulations, and agencies.
  • Review payroll process and administration documentation.
  • Identifies and raises continuous improvement and automation opportunities.
  • Supports cross-functional projects with payroll dependency.
  • Serve as the owner for audits (both internal and external).
  • Coach and mentor payroll staff level resources in the cluster.
  • Supports and resolves payroll related inquiries.

Key Responsibilities: Services

  • Lead Level 2 payroll support for wage details, claims, employment verification, reports, missing payments, final payouts, and one-time payments; ensure accuracy and timely resolution.
  • Conduct Payroll and master data audits, correct data as needed and implement governance controls to prevent recurrence.
  • Validate NA payroll interfaces and support cross-border payroll processes as needed.
  • Produce and present stakeholder reports and dashboards; translate data into actionable insights.
  • Manage relationships with internal business units and external partners; drive effective issue resolution.
  • Lead process reviews and drive improvements in data quality, master data governance, and payroll processes.
  • Support month-end, quarter-end, and year-end payroll remittance activities and reconciliations.

Qualifications

  • A bachelor’s degree or equivalent is required.
  • A minimum of 6 years of prior experience in Payroll or HR is required. (Americas Region)
  • A minimum of 3 years in a supervisory role is required.
  • Strong Knowledge of payroll US processing (processes, regulations, vendor landscape, etc.).
  • Strong English language verbal and written communication skills is required.
  • Payroll certification is preferred (e.g. CPP, FPC)
  • Workday, SAP, Kronos, ServiceNow or equivalent ticketing system; ERP/HRIS tools; reporting dashboards.
  • Research and problem-solving skills required.
  • Ability to think strategically, make recommendations to leadership, and in some cases, serve as the decision-maker for payroll administration topics
  • Cultural awareness and an ability to work with a multitude of people across multiple markets assigned.
  • Prior experience with payroll processes as well as month end, quarter end or year-end payroll returns or remittances, procedures, controls, regulations, and compliance is required.
  • Knowledge and/or experience with the Leading Third-Party Payroll Providers (ADP, NGA, SDWorx, etc.
  • Prior experience in a multi-national company, and/or experience in Finance/HR Shared Services preferred.
  • Knowledge and/or experience with Knowledge Management artifacts such as Desktop Procedures (DTPs) and proficiency with Compliance requirements (SOX and Business Controls) is required.
