Statistics & Decision Sciences (SDS) is a function of Quantitative Sciences & Clinical Pharmacology. SDS comprises of Cardiopulmonary, Oncology, Immunology, Neuroscience, Medical Affairs, Post Approval Lifecycle Management, and Discovery & Manufacturing Statistics; Statistical Modeling Methodology & Consulting; and Strategic Business & Computing Operations (SBCO).
The SBCO organization applies deep understanding of drug development, statistics, scientific computing, business operations, and enabling technologies to deliver scalable, compliant, and high value solutions for SDS. SBCO comprises three integrated units: Strategy & Business Operations (SBO), Scientific Computing Operations (SCO), and the SDS Centralized Administrative Network (SCAN).
The Experienced Assistant provides routine administrative support within the SDS Centralized Admin Network (SCAN) service model. This role contributes to pooled administrative support, executing tasks aligned with defined service levels and processes.
The role focuses on delivering accurate, timely, and high-quality administrative support while maintaining professionalism, discretion, and effective communication. Work is completed with guidance, following established processes and service expectations.
Principal Responsibilities
Expertise:
• Supports scheduling of meetings and calendar activities for assigned teams.
• Assists with preparation and coordination of meeting logistics including agendas, materials, and technology setup.
• Provides logistical support for meetings and events (onsite, offsite, virtual, hybrid) following SCAN service standards.
• Supports administrative tasks such as document preparation, formatting, filing, and record management.
• Supports complex and short notice travel arrangements, ensuring timely coordination and adherence to company processes.
• Provides space management support, including coordination of workspace requests and related administrative activities.
• Supports contract and purchase order processes, including HCC, contracting, and PO coordination in partnership with relevant stakeholders.
• Assists with onboarding and offboarding activities including interview scheduling and coordination.
• Maintains distribution lists, SharePoint sites, and administrative systems to ensure data accuracy.
• Supports general office coordination including supplies and visitor logistics.
Innovation:
• Identifies opportunities to improve administrative processes within defined scope.
• Build knowledge of tools and systems to improve efficiency of service delivery.
Impact:
• Ensures timely and accurate delivery of administrative support services following SCAN service level expectations.
• Maintains confidentiality and handles sensitive information appropriately.
• Supports team productivity through reliable execution of assigned tasks.
• Has flexibility to travel to other local sites, such as Raritan or Spring House, to support town halls and attend other meetings as needed, at least once a quarter.

Principal Relationships
This position reports to the Team Lead, SDS Centralized Administrative Network within SDS Strategic Business & Computing Operations. The role will collaborate closely with SBO and SCO units, ensuring effective, high-quality and timely support to SBCO and broader SDS.
• Internal: Statistics & Decision Sciences (SDS), SDS Administrative Network, Clinical Pharmacology and Pharmacometrics (CPP), Integrated Data Analytics and Reporting (IDAR), Leaders and Scientists within Therapeutic and Functional Areas, Global Development, Quality, Human Resources, Information Technology, Finance, and Procurement.
• External: Contracted Partners and Suppliers and Vendors, Key Opinion Leaders, Academia, Professional Societies, Public/Private Consortia.
Education and Experience Requirements
• High School diploma is required.
• At least 2 years of experience in an administrative or office support role is required.
• Basic knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
• Strong written and verbal communication skills.
• Ability to manage routine tasks independently and prioritize work effectively.
• 5% travel across sites on the U.S. is required.

Vacation –120 hours per calendar year
