Job Description:

Position Summary

Johnson & Johnson Innovative Medicine EMEA is seeking a Senior Executive Assistant to partner closely with the IM EMEA Company Group Chairman. This highly visible role serves as a trusted business partner responsible for enabling executive effectiveness, leading strategic coordination activities, and supporting the execution of key regional initiatives & projects across a complex international organization.

The successful candidate will combine outstanding executive support capabilities with strong project coordination expertise, organizational agility, stakeholder management skills, and the ability to lead multiple priorities independently. This role requires exceptional judgment, discretion, business acumen, and the ability to operate confidently with senior leaders across EMEA and globally.

Key Responsibilities

Executive Leadership Support

  • Serve as the primary executive support partner to the IM EMEA Company Group Chairman and members of the EMEA Leadership Team (ELT).
  • Manage an exceptionally complex calendar across multiple geographies, time zones and stakeholder groups.
  • Prioritize competing demands while ensuring alignment with strategic business priorities.
  • Coordinate domestic and international travel, leadership meetings, business reviews and executive engagements.
  • Prepare briefing documents, presentations, agendas, executive correspondence and leadership communications.
  • Anticipate executive needs and proactively identify solutions that increase organizational effectiveness.
  • Handle highly sensitive and confidential information with the highest level of discretion and professionalism.

Strategic Project Coordination

  • Support planning, implementation and monitoring of strategic EMEA initiatives and leadership priorities.
  • Develop and maintain project plans, governance trackers, milestone reviews and executive dashboards.
  • Drive follow-up actions and accountability across multiple stakeholder groups.
  • Identify risks, dependencies and opportunities for improved execution.
  • Coordinate cross-functional projects and facilitate collaboration among business leaders and support functions.
  • Ensure deliverables are completed on time and aligned with organizational objectives.

Leadership Team Governance

  • Coordinate leadership team meetings, business reviews, strategy sessions and off-site events.
  • Prepare meeting materials, executive summaries, decision logs and action trackers.
  • Track decisions, commitments and follow-ups to enable high-quality execution.
  • Support annual planning, business reviews, talent discussions and other leadership governance processes.

Stakeholder Engagement

  • Build trusted relationships with senior leaders, executive assistants and key internal and external partners.
  • Serve as an effective liaison across EMEA and global organizations.
  • Facilitate seamless communication and collaboration across functions, geographies and organizational levels.
  • Represent the office of the Company Group Chairman with professionalism, credibility and executive presence.

Operational Excellence

  • Identify opportunities to improve processes, collaboration and team effectiveness.
  • Create executive reporting, dashboards and business updates.
  • Leverage digital solutions, data insights and AI-enabled productivity tools to enhance efficiency and effectiveness.
  • Support budget tracking, purchase orders, invoices and operational processes as needed.

Qualifications

Education

  • Bachelor’s degree preferred.
  • Equivalent combination of education and relevant experience will be considered.

Required Experience

  • Minimum 8 years of professional experience in executive support, business operations, project coordination or related roles.
  • Significant experience supporting senior executives within a global, matrixed organization.
  • Demonstrated ability to manage highly confidential information and sensitive business matters.
  • Proven experience coordinating complex projects and initiatives involving multiple stakeholders.
  • Strong experience managing competing priorities with minimal supervision.
  • Experience working directly with senior leadership teams.

Preferred Experience

  • Experience supporting Chairman, President, Company Group Chair, Executive Committee or equivalent senior leadership levels.
  • Experience within healthcare, pharmaceuticals, medical technology or another highly regulated industry.
  • Formal project management training or certification such as PMP, Prince2, Agile or equivalent.
  • Experience supporting regional or global leadership organizations.
