Johnson & Johnson announced plans to separate our Orthopaedics business to establish a standalone orthopaedics company, operating as DePuy Synthes. The process of the planned separation is anticipated to be completed within 18 to 24 months, subject to legal requirements, including consultation with works councils and other employee representative bodies, as may be required, regulatory approvals and other customary conditions and approvals.

Purpose:
Assistant to Supply Chain function management team, Organize and coordinate meetings & travels for the function leaders.
Manage the administrative related service providers, for instance, stationery, outsourced document storage, as the travel coordinator, to arrange the domestic and international travel for staff and visitors
Lead the campus level employee engaged activities, such as family day, annual dinner, celebration etc.
You will be responsible for:
In accordance with all applicable federal, state and local laws/regulations and Corporate Johnson & Johnson, procedures and guidelines, this position:
- Check the related contractors' monthly billing and apply the payment
- Relative Admin, support to Supply Chain Function Leadership team.
- Lead the campus level employee engaged activities, such as family day, annual dinner, celebration.
- Manage offices supplies, services to employees and building maintenance in collaboration with other departments.
- Process complex expense reports on behalf of Supply Chain Leaders
- Communicate with internal/external partners at all levels of the organization.
- Partner closely with leadership to schedule and arrange team meetings (virtual and in person).
- Provide logistical support including technology, meals, room setup, agendas, meeting material /presentation portfolio, and provide onsite meeting support as needed. Support town halls or large group forums and Executive site visits.
- Process international travel through Concur / AMEX Business Travel, prepare passport visa applications/renewals as necessary.
- Support operational activities including document management, 5S, office services, and facilities coordination
- Purchase order processing for the Leaders and their respective organizations as requested.
- Responsible for communicating business-related issues or opportunities to next management level
- Responsible for following all Company guidelines related to Health, Safety and Environmental practices as applicable.
- For those who supervise or manage a staff, responsible for ensuring that subordinates follow all Company guidelines related to Health, Safety and Environmental practices and that all resources needed to do so are available and in good condition, if applicable
- Responsible for ensuring personal and Company compliance with all Federal, State, local and Company regulations, policies, and procedures
- Performs other duties assigned as needed
Qualifications / Requirements:
Experience and education
- University bachelor’s degree in business administration or any other area related to the position
- 2+ years of experience in similar positions
- Experience supporting senior leadership in multinational or regulated environments.
- Strong proficiency in Microsoft Office, collaboration tools, and travel/expense systems.
- Ability to perform duties in accordance with policies and procedures and in to comply civil rights requirements.
Required knowledge, skills, abilities, certifications/licenses and affiliations
- Experience supporting multiple Senior Director’s or above. Preferred
- Ability to anticipate executive needs and collect or prepare information for executive review/ action; strong organizational skills and attention to detail.
- Ability to prioritize, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and constantly evolving environment.
- Experience coordinating meetings and agendas across multiple time zones
- Proficient with the use of current technology platforms, including MS Office Suite, One Drive, Teams, Zoom, SharePoint, Concur Travel & Expense, Workday, Our Source, e-Marketplace.
- Fluent written and verbal English proficiency.
- Good interpersonal skills.
