SUMMARY:
The specialist is responsible for Health Care Compliance (HCC) Administrative Assistant, Business Partner and coordinating regional Young Talent Forum.
PROFILE:
- Position reports into the Health Care Compliance(“HCC”) Officer, MT China
- Requires strong communication, organisational and analytical skills
- Ability to take complex business situations and develop solutions to ensure compliant growth is achieved
- Background may include Compliance, Finance, Sales and Marketing, Medical Affairs, Legal, Regulatory or Auditing.
- Proven track record in delivering results, self starter and ability to manage complexity is a must
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Department Administrative Affairs Order & maintain office equipment/stationery Maintain work environment Act as liaison with vendors Organize departmental meetings/activities with creative approach Update team organization chart, name list and email groups timely Other responsibilities assigned by line manager.
Daily Administrative Support to China Healthcare Compliance Officer Maintain HCC leaders’ calendar, arrange meetings and conference calls Assist HCC leaders with document preparation and file management. Arrange business travel of HCC leaders, e.g. book air-ticket and hotel accommodation Perform other duties as assigned by HCC leaders.
Events/Meetings & Guest Visits Provide logistic support for guest visits & meetings Vendor coordination and management Track vendor payment and facilitate & follow up on payment process
Coordinate Grant Review Committee Meeting Schedule GRC meeting for leaders from HCC, Legal, SMA and Finance team Host GRC meeting and taking meeting minutes
Business Partner
Will assist to effectively prevents and/or detects violations of law, regulations, policies, or the Code of Conduct in respective partnering franchises and/or departments:
Ensure business activities with HCPs/government officials are planned in consistence with applicable HCC policies and procedures by assisting HCC Business Partner to review and/or reviewing all those activities. Act as a consultant, provide day-to-day guidance, advice to covered employees under supervision of Senior HCC Manager. Assist to prepare HCC training materials to fit into the needs and business context of covered franchise and/or department. Execute HCC policies and/or procedures in covered franchise and/or department by assisting to provide and/or provide necessary training and/or communication to covered employees, managing changes, and monitoring implementation. Assist on drafting HCC policies, designing the compliance curriculum, managing consistent communications, monitoring the program for improvement Assist to identify appropriate target training audiences and support timely completion of employee training courses and accurate status reporting and metrics.
Coordinating regional Young Talent Forum
Requirements:
- BA/BS, advanced degree or equivalent preferred
- 2+ years relevant experience in MNC
- Finance/Legal degree preferred
- Knowledge of the J&J HCBI Guide, FCPA and related regulations is a plus
- Excellent written and verbal communication skills both in English and Chinese
- A good team player and willing to connect with internal and external stakeholders
- Self-motivated, problem-solving skills and attention to details
- Good learning & creative attitude preferred
- Willing to take increased responsibilities through conscious and proactive learning and development
