Business Operations Specialist

Full time

The Business Operations Specialist plays a key role in enabling high-quality and compliant J&J customer events across multiple therapeutic areas, including Immunology, Hematology and Oncology.

In close collaboration with internal Event Owners from Medical Affairs, Commercial and External Affairs, the Business Operations Specialist acts as the operational partner responsible for translating event strategy into execution. While the role reports into the Nordic Business Operations organization, the Business Operations Specialist works primarily with local Swedish business units and therapeutic area teams.

Core purpose

The purpose of the role is to drive structured planning and ensure high-quality execution of customer events in line with J&J SOPs. The Business Operations Specialist is responsible for planning and organizing event logistics, administration and documentation across all event types, including promotional events, medical education events, advisory boards, consultations, sponsorships and patient organization activities.

Key responsibilities

  • Drive timely planning and coordination of customer events in close collaboration with Event Owners and brand teams
  • Lead event intake discussions together with Event Owner to align on objectives, target audience, content, communication and execution setup as well as raise any out-of-framework or non-compliant event plans with the Event Owner.
  • Plan and organize event logistics, administration and documentation across the full event lifecycle
  • Manage event set-up and administration in relevant systems (iConnect, ICD, HPR), from initiation to closure
  • Coordinate vendors, agencies, and external partners (e.g. travel agency American Express), ensuring alignment with event plan and budget
  • Together with the Event Owner handle event related contacts with attendees and speakers. This includes contract creation, registration, information on travel and accommodation, managing payment and disclosure documentation.
  • Develop event materials such as invitations and registration pages in collaboration with Event Owner and external agencies, and act as Item Owner for event materials in the iMedical Review system.
  • Submit event details and materials to local trade associations following local country requirements.
  • Proactively identify and manage risks related to timeline, budget or compliance, and escalate when needed
  • Coordinate event evaluation and provide insights to support continuous improvement
  • Support brand teams in planning and structuring annual event activities
  • Ensure all event activities, materials and interactions are compliant with J&J policies and external regulations, including healthcare compliance, documentation and reporting requirements

We are looking for

  • A structured and proactive professional with a strong ability to plan, coordinate and drive multiple activities in parallel
  • Strong stakeholder management skills, with the ability to collaborate effectively with both internal teams and external partners
  • A service‑minded and solution‑oriented approach, combined with a high sense of ownership and accountability
  • Ability to work in a fast‑paced environment with tight deadlines and shifting priorities
  • Ability to quickly learn and master new systems
  • Interest in and ability to leverage digital tools and AI to continuously improve ways of working and operational efficiency

Experience & knowledge

  • Bachelor’s degree or equivalent
  • Minimum 2 years of relevant experience (e.g. event coordination, project management, business operations)
  • Experience from the healthcare, pharmaceutical or similar regulated industry is an advantage
  • Strong skills in Microsoft Office tools
  • Experience working with event management and/or compliance-related systems is considered a plus
  • Fluency in Swedish (local language) and high proficiency in English

The anticipated base pay range for this position is:

kr413,000.00 - kr664,700.00

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
