We are seeking a highly organized, proactive, and trusted Lead Administrative Assistant to support the Head of Global Clinical Operations. In this role, you will operate at the center of senior leadership activities—managing complex priorities, enabling seamless operations, and ensuring high-quality execution across a range of business-critical tasks. This role is part of the Global Clinical Operations organization, Business Operations, Centralized Admin Team, Executive Support CoE, and reports directly to Ann Rombouts, Sr. Supervisor, CAN.

Success in this position requires strong judgment, discretion, and the ability to anticipate needs at an executive level, combined with a solutions-oriented mindset and a commitment to continuous improvement. You will be part of the Centralized Admin Network (CAN), connecting with peers globally to contribute to and benefit from shared practices and ongoing enhancements in administrative excellence.

Key Responsibilities:

  • Proactively manage the Head of GCO’s complex and dynamic calendar, optimizing scheduling across multiple time zones and competing priorities.
  • Coordinate seamless domestic and international travel, including detailed itineraries, accommodations, visas, and logistics.
  • Prepare, reconcile, and submit expense reports accurately and in a timely manner.
  • Draft and manage clear, professional communications to support efficient decision-making and collaboration.
  • Handle highly confidential information with discretion; anticipate needs and ensure timely follow-up on critical matters.
  • Enable effective leadership meetings by preparing agendas, consolidating pre-read materials, and tracking key actions.
  • Lead end-to-end coordination of in-person and virtual events, ensuring high-quality execution and stakeholder experience.
  • Contribute to broader administrative initiatives and support local communications and engagement activities as needed.

Qualifications:

Required

  • High school diploma
  • Minimum of 6 years of administrative assistant experience
  • Strong time management and organizational skills, with the ability to prioritize effectively in a fast-paced environment
  • Strong attention to detail and a consistent track record of delivering high-quality work while handling confidential information with integrity and discretion
  • Resourceful, adaptable, and solution-oriented; able to navigate complexity, ambiguity, and apply new skills and ways of working
  • Excellent interpersonal and communication skills, with a collaborative, service-oriented approach and the ability to build effective relationships across all levels of the organization
  • High proficiency in Microsoft 365 and collaboration platforms (e.g., Teams, SharePoint, Zoom), with strong digital acumen and an interest in emerging technologies, including AI, to drive efficiency
  • Strong sense of ownership, accountability, and reliability
  • Alignment with Johnson & Johnson’s Leadership Imperatives and Credo in all interactions

The anticipated base pay range for this position is :

$63,000.00 - $101,430.00

Additional Description for Pay Transparency:

Subject to the terms of their respective plans, employees are eligible to participate in the Company’s consolidated retirement plan (pension) and savings plan (401(k)).

Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits:

Vacation –120 hours per calendar year

Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado –48 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year

Holiday pay, including Floating Holidays –13 days per calendar year

Work, Personal and Family Time - up to 40 hours per calendar year

Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child

Bereavement Leave – 240 hours for an immediate family member: 40 hours for an extended family member per calendar year

Caregiver Leave – 80 hours in a 52-week rolling period10 days

Volunteer Leave – 32 hours per calendar year

Military Spouse Time-Off – 80 hours per calendar year
