Role: Program Coordinator (PMO)
Duration: 12 Months (Fixed-Term)
Location: Bangalore
Role Overview
The Program Coordinator (PMO) will support the execution of a large-scale global HR Digital Transformation program. This role will help drive structured program delivery, ensure transparency of progress, and enable effective coordination across multiple workstreams.
This position is ideal for a junior to mid-level professional who can operate with guidance, ensuring governance processes run efficiently, program data remains accurate, and teams stay aligned on priorities, breakthroughs, and deliverables.
Key Responsibilities:
Program Coordination & Support
- Partner with Program and Project Managers in coordinating day-to-day program activities across multiple workstreams with global stakeholders
- Track progress against key program achievements and highlight variances or gaps
- Track and manage program interdependencies across workstreams
Governance & Reporting Support
Support weekly program reporting & governance cycles by:
- Orchestrating updates from workstream leads & project managers
- Ensuring that inputs are put into standard templates for weekly program meetings
- Preparing draft program status reports and dashboards
- Maintain and update overall program plan and milestone trackers to reflect current delivery status
- Ensure consistency and accuracy of reporting data
RAID Tracking & Follow-Up
- Own and maintain the program level RAID (Risks, Actions, Issues, Dependencies) log in SharePoint including conducting regular audits
- Follow up with owners to ensure updates are current and actions are progressing
- Highlight overdue or high-risk items to the Program Manager / Director
- Support structured escalation where needed
Meeting Coordination
- Schedule and coordinate recurring program level meetings and ad-hoc workstream meetings
- Prepare meeting agendas in advance and working files and capture clear meeting notes, decisions, and action items
- Maintain action trackers and follow up to ensure timely closure
- Support smooth communication across globally distributed teams
Documentation & Administration
Maintain program documentation, including:
- Status reports and governance artifacts
- Meeting records and decision logs
- Ensure all materials are stored in the correct locations with proper version control
- Support general PMO administrative activities (e.g., templates, trackers, access coordination)
Team Support & Onboarding
- Support onboarding of new team members (access, materials, orientation)
- Assist with coordinating tools, access, and documentation
- Provide general operational support to enable efficient program execution
Qualifications
Education
- Project management certifications or equivalent experience in Business Administration, Project Management, Information Technology, Human Resources, or a related field
- Equivalent combination of education and relevant project coordination or PMO experience may also be considered
- PMO, project management, or governance-related certification is an advantage
- Preferred to be J&J FPX Certified
Experience and Skills Required:
Experience
- 2–5 years of experience in a project coordination, PMO, or program support role
- Experience working in structured project environments with formal reporting and tracking
- Exposure to multi-stakeholder or cross-functional programs is helpful
Skills
- Strong interpersonal and coordination skills
- Proficiency in Microsoft Office (Excel, PowerPoint) and collaboration tools (e.g., SharePoint)
- Good written and verbal communication skills
- Strong ability to manage structured reporting, trackers, and documentation with high accuracy and deliver to deadlines
- Strong follow-up discipline and attention to detail
Preferred:
- Experience in PMO or governance support roles
- Familiarity with RAID tracking and structured reporting processes
- Exposure to digital transformation, HR, or enterprise programs
