POSITION SUMMARY:
The Project Management Intern will support the MAF Study Management Team in coordinating and facilitating individual study management, specifically on vendor onboarding, due diligence (DD) processes, and the arrangement for Study-related training and activities.
This role exists to enhance operational efficiency by assisting in cross-functional communication, vendor negotiation preparation, and process tracking. The intern will function as a key liaison between internal functional teams and external vendors to help ensure timely, compliant, and well-coordinated execution of vendor management and study-related operational activities.
PRINCIPAL RESPONSIBILITIES:
- Support the end-to-end new vendor adding process, including documentation collection, APEX system registration, ASL system adding (needs to coordinate with PV (Pharmacovigilance) and CQ (Compliance/Quality) to clarify vendor service scope and finish CQ questionnaire). Ensure completeness and compliance with company procedures.
- Assist in coordinating Health Care Compliance (HCC) Due Diligence (DD) process such as gathering required documents from vendor, completing FIRST system questionnaire, tracking review status, and facilitating vendor and HCC communication about issues identified from the process.
- Assist in executing the Third-Party Risk Due Diligence (TPI-DDR) process, including collecting required information from vendors, completing relevant forms, and coordinating with IT and vendors to address process reviewer findings. Track improvement actions and ensure timely closure.
- Facilitate communication between internal functions (e.g., procurement, legal, PV, HCC) and vendors. Help clarify requirements and ensure timely feedback loops.
- Prepare materials such as comparison tables, basic data analysis, meeting notes, and summaries to support vendor negotiation discussions led by senior team members.
- Support the planning, scheduling, and coordination of Study-related training sessions and activities. Track participation, prepare materials, coordinate speaker’s rehearsal. Assist in communication with stakeholders to ensure smooth execution.
- Maintain trackers and dashboards for vendor onboarding, DD, and MRI activity progress. Provide regular status updates, highlight bottlenecks, and suggest process improvements.
