We are searching for the best talent for Warehouse Coordinator

Overview:

As the Warehouse Coordinator, this individual is responsible for receiving raw materials, supporting production material movement, managing inventory accuracy, and executing shipments to achieve 100% on-time delivery. This role operates in a GMP-regulated environment and requires strong ownership of warehouse operations, system transactions, and cross-functional support.

Additionally, this role supports operational continuity through ownership of key transactional workflows, quality system coordination, and warehouse process support activities across multiple functional areas including production, quality assurance, field service, and facilities.

Core Job Responsibilities - (Duties may include, but are not limited to, the following):

  • Warehouse Operations & Inventory Control
  • Receives all incoming materials in ERP (SAP) or completes daily receipt logs; labels and files all documentation
  • Resolves receiving discrepancies, PO issues, and problem log follow-ups
  • Pulls raw materials, kits, issues, and closes production orders for builds and FGI packaging
  • Performs daily cycle counts and supports inventory review/root cause analysis
  • Monitors inventory levels, usage trends, and replenishment needs
  • Maintains >98% inventory accuracy through proper system and physical controls
  • Reviews WMS transactions (e.g., open transactions, system inconsistencies) and resolves discrepancies

Shipping, Logistics & Distribution

  • Picks, packs, and ships revenue orders using ERP and carrier systems (e.g., FedEx, approved carriers)
  • Processes non-revenue shipments and coordinates internal transfers (including Santa Clara and other sites)
  • Prepares international shipments, including export documentation, EEI filing, and HTS/HS code determination
  • Tracks and resolves inbound/outbound shipment issues
  • Coordinates shipments to and from external manufacturers and manages related documentation

Required Knowledge/Skills, Education, And Experience:

  • Preferred: AA or AS degree or equivalent work experience.
  • Minimum of three years material control and shipping/receiving experience
  • Solid written and verbal communication and presentation skills
  • Basic computer skills such as Outlook, Microsoft Word/Excel are required to maintain accurate records and files.
  • ERP experience required; SAP S4 Hana preferred
  • Proficient in inventory tracking and order fulfillment systems
  • Strong understanding of shipping and receiving, inventory management and dispensing of materials in a GMP regulated environment
  • Strong experience with the coordination and management of international shipments
  • Demonstrated ability to exercise sound independent judgment with minimal supervision
  • Ability to translate and simplify problems of considerable scope and complexity into manageable tasks with measurable requirements.
  • Must be highly organized with the ability to manage multiple projects/tasks simultaneously and effectively prioritize projects and tasks.
  • Establishing and maintaining effective working relationships with those contacted during work
  • An approachable individual who provides a high level of teamwork and cross-functional collaboration.
  • Possess excellent customer service skills·
  • Must be able to lift a minimum of 50 pounds repeatedly·
  • Ability to work in a warehouse environment and follow all safety procedures·
  • Ability to work in a regulated environment in compliance to ISO 13485 and 21 CFR 820.·
  • Ability to work overtime as required
  • Driver’s license

Work Environment:

This position operates in a professional warehouse environment. This role routinely uses standard office equipment such as computers, phones, RF scanners, and photocopiers. Additionally, cutting tools, ladders, pallet jacks, and electric pallet stacker are used.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, sit or walk for long period of times; use hands to finger, handle or feel; and reach with hands and arms. Lift light to heavy objects with support from other employees, tools or other resources, up to 50 lbs.

Position Type and Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, generally 8:00 a.m. to 5:00 p.m., but may vary. Occasional evening and weekend work may be required as job duties demand. Travel to the nearby Santa Clara facility may be required at times to support warehouse operation requirements.
