Job Description:

Johnson & Johnson is currently seeking an Executive Assistant to join our Administrative Management Office Team located in Zug, Switzerland.

We are seeking a highly proactive, organized, and strategic Executive Assistant to support the Senior Director, Transcend PMO Lead. This role serves as a trusted business partner, enabling efficient execution of key business priorities, supporting leadership team operations, and driving organizational effectiveness across a complex global environment.

The Executive Assistant will provide comprehensive executive support, coordinate critical business activities, facilitate communication across multiple stakeholders, and contribute to the success of strategic transformation initiatives. The role requires strong business acumen, exceptional organizational skills, discretion in handling confidential information, and the ability to anticipate needs in a fast-paced environment.

Key Responsibilities:

Executive Support & Leadership Enablement

  • Manage a highly complex and dynamic calendar, ensuring effective prioritization of commitments, meetings, and business activities.

  • Coordinate leadership team meetings, governance forums, and executive reviews.

  • Prepare agendas, briefing materials, presentations, reports, and executive communications.

  • Track action items, decisions, and follow-up activities to ensure timely execution.

  • Act as a key liaison between the Senior Director and internal and external stakeholders.

  • Handle highly confidential information with professionalism and discretion.

  • Anticipate business needs and proactively identify solutions to challenges before they arise.

Strategic Program & PMO Support

  • Support strategic Transcend PMO initiatives and transformation activities.

  • Coordinate projects, milestones, and deliverables across cross-functional and global teams.

  • Maintain project trackers, governance documentation, and executive dashboards.

  • Assist with preparation of leadership updates, presentations, and communications.

  • Support change management and employee engagement initiatives.

Meeting, Event & Communication Management

  • Plan and coordinate leadership meetings, workshops, off-sites and global virtual events.

  • Manage end-to-end logistics including agendas, meeting materials, venues, travel arrangements, and attendee communications.

  • Prepare meeting summaries and ensure effective follow-up on commitments and actions.

  • Create professional communications and presentations aligned with organizational objectives.

Travel & Expense Management

  • Coordinate complex domestic and international travel arrangements.

  • Prepare detailed itineraries and travel documentation.

  • Process expense reports and reimbursements accurately and timely.

  • Support visitors and leadership team members with travel logistics as required.

Financial & Administrative Management

  • Manage purchase orders, vendor onboarding, invoice processing, and budget tracking.

  • Support event, travel, and operational budget management.

  • Ensure administrative processes comply with company policies and procedures.

  • Identify opportunities to streamline processes and improve efficiency.

Qualifications:

Education & Experience

  • Minimum 5+ years of experience supporting senior leaders in a global organization.

  • Experience supporting executive-level stakeholders in a matrix environment.

  • Background in project coordination, PMO support, business operations, or transformation programs is highly desirable.

  • Proven experience working across international teams and time zones.

Technical Skills

  • Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, PowerPoint, Excel, Word, and SharePoint.

  • Strong digital literacy and ability to quickly learn new systems and technologies.

  • Experience with Microsoft Copilot or other AI-enabled productivity tools is a strong advantage.

Communication & Interpersonal Skills

  • Exceptional written and verbal communication skills.

  • Strong stakeholder management and relationship-building capabilities.

  • Ability to communicate confidently and professionally with all organizational levels.

  • High degree of discretion, diplomacy, and business judgment.

  • Ability to manage multiple competing priorities in a fast-paced environment.
