Purpose of the Role

Provide administrative, operational, compliance, and finance support to the Slovak organization, ensuring efficient business operations, regulatory compliance, effective office management, and leadership of the local administrative team.

Key Responsibilities

Administrative Operations

  • Manage purchase orders and vendor payments.
  • Create, maintain, obtain signatures for, and archive business contracts.
  • Serve as ICD Power User and contract management lead.
  • Manage corporate Visa cards.
  • Act as Concur champion, including training and support for employees.
  • Support due diligence activities and related compliance processes.
  • Coordinate and maintain company records in line with corporate policies.

People Management

  • Lead, coach, develop, and support members of the Administrative Team.
  • Set priorities, allocate workload, and ensure effective execution of administrative activities.
  • Drive employee development, performance management, and engagement within the team.
  • Foster collaboration across functions and promote a culture of accountability and continuous improvement.

Records & Information Management (RIM)

  • Act as the local Records Manager and primary contact for RIM matters.
  • Ensure compliance with global records management policies and retention requirements.
  • Provide training, guidance, and support to employees on RIM processes.
  • Coordinate compliance assessments and manage record storage solutions.
  • Partner with internal stakeholders to maintain compliance and governance standards.

Environment, Health, Safety & Wellbeing (EHS/EHW)

  • Represent Slovakia on EHS & EHW committees.
  • Coordinate office inventory and support local health, safety, and fire protection requirements.
  • Liaise with external safety and occupational health providers.
  • Promote workplace safety awareness and compliance.

Facilities Management

  • Serve as the local Facilities Management Single Point of Contact.
  • Coordinate with landlords and facilities service providers.
  • Monitor service quality and support issue resolution and escalations.
  • Support facilities budgeting, supplier performance reviews, payments, and office-related projects.

Transparency & Disclosure Compliance

  • Lead local disclosure and transparency activities.
  • Coordinate data quality reviews and regulatory reporting requirements.
  • Collaborate with compliance, business, and regional teams to ensure accurate and timely disclosures.
  • Deliver training and communications related to transparency obligations.

Finance Support

  • Support reporting of non-monetary benefits.
  • Manage fixed asset processes and approvals.
  • Act as HPR Key User and provide user support.
  • Support financial approval processes and related systems.

Event Management

  • Coordinate company events in partnership with internal stakeholders and external vendors.
  • Oversee event planning, execution, and completion.

Additional Responsibilities

  • Prepare required reports for healthcare authorities and regulatory bodies.
  • Support interactions with local health authorities.
  • Perform additional duties as assigned.
  • Ensure compliance with company policies, procedures, and regulatory requirements.

Requirements:

Knowledge & Experience

  • SAP or similar ERP system experience
  • Advanced MS Excel skills
  • Fluent English and Slovak (written and spoken)
  • Minimum 1 year of administrative, project management, or related experience
  • Understanding of contract management, outsourced services, compliance, and health & safety regulations

Education

The anticipated base pay range for this position is:

€25,600.00 - €41,745.00

Benefits:

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
