Job Purpose

Provides efficient administrative and operational support to executives and internal teams. Ensures accurate, timely delivery while demonstrating professionalism, discretion, initiative, and sound judgement. The role also supports assigned and ad hoc projects.

Key Responsibilities

  • Provide administrative and operational support to executives and the leadership team.
  • Manage calendars, meetings, priorities, and scheduling conflicts.
  • Coordinate meeting logistics, agendas, materials, technology, minutes, and follow-up actions.
  • Draft and format professional correspondence, presentations, reports, and business documents.
  • Maintain accurate and confidential records, trackers, databases, and document repositories.
  • Support business planning and governance by consolidating inputs, monitoring milestones, and preparing updates.
  • Coordinate travel, events, workshops, suppliers, and related administration.
  • Act as a professional point of contact for employees, leaders, external stakeholders, and vendors.
  • Process administrative requests in line with company policies, timelines, and approvals.
  • Deliver assigned and ad hoc projects, tracking actions, risks, and dependencies to completion.
  • Identify opportunities to simplify processes and improve team efficiency.
  • Demonstrate discretion, accountability, inclusion, and ethical conduct in line with the Johnson & Johnson Credo and Leadership Imperatives.

Minimum Qualifications

  • A relevant degree, certificate or diploma in Office Administration, Business Administration, or a related field is preferred.
  • Previous experience in administrative, executive, or business operations support may be advantageous.
  • Proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong written and verbal English communication skills.
  • Ability to manage calendars, meetings, documentation, and competing priorities.
  • Strong organisation, attention to detail, stakeholder management, and follow-through.
  • Ability to work independently, meet deadlines, and handle confidential information with discretion.
  • Displays high energy, curiosity, accountability, initiative, adaptability, collaboration, an entrepreneurial mindset, and a commitment to continuous improvement.
