We are searching for the best talent for Administrative Assistant.

Purpose:

Administrative Assistant responsibilities include providing administrative support to ensure efficient results within the Site. Supports managers and employees with activities related to organization and communication across the site. Responsible for confidential information. Acknowledge of a variety of practices and procedures regarding migration, purchasing and organizational standards. Ability to effectively communicate ensuring that all administrative responsibilities are completed.

In accordance with all applicable federal, state and local laws/regulations and Corporate Johnson & Johnson, procedures and guidelines, this position:

Executive Support to Plant Manager and Staff

  • Provide high-quality, proactive administrative and organizational support to the Plant Manager and staff
    Manage a complex and dynamic calendar, ensuring effective prioritization and alignment to business needs.
  • Coordinate meetings, travel, and logistics in a timely and efficient manner.
  • Prepare and format presentations, reports, and briefing materials to a professional standard.
  • Act as a key point of contact for the Plant Manager, ensuring clear and effective communication with stakeholders.
  • Anticipate scheduling conflicts and administrative challenges, taking appropriate action to resolve them.

Additional Duties and Responsibilities

  • Provides structured support to the Site Leadership Team (SLT).
  • Facilitate effective information flow between the GM, SLT, and broader organization.
  • Coordinate delivery of required site events, leadership meetings, employee engagement activities, and community and education-related programs, ensuring smooth execution.
  • Co-ordinate internal communications for site announcements, Town Hall presentations, site events, and updates for employees and leadership teams.
  • Drive coordination and/or execution of cross-functional projects and site initiatives, ensuring alignment with and prioritization of business objectives.

Governance and Compliance

  • Ensure activities are carried out in line with company policies, SOPs, and data integrity requirements. Maintaining Accurate documentation and records.
  • Handle confidential information with discretion and professionalism.

Continuous Improvement and Professional Standards

  • Demonstrate strong attention to detail, organization, and reliability.
    • Work effectively both independently and as part of a team.
    • Operate in alignment with Johnson & Johnson Credo values and expected behaviors

Others

  • Responsible for communicating business-related issues or opportunities to next management levels.
    • Responsible for following all Company guidelines related to Health, Safety and Environmental practices as applicable.
    • For those who supervise or manage staff, they are responsible for ensuring that subordinates follow all Company guidelines related to Health, Safety and Environmental practices and that all resources needed to do so are available and in good condition, if applicable.
    • Responsible for ensuring personal and Company compliance with all Federal, State, local and Company regulations, policies, and procedures.
    • Responsible for assisting executive visits and coordinating transportation/logistics of visitors.
    • Performs other duties assigned as needed

Qualifications / Requirements:

Experience and education

  • Technical Degree or University / bachelor’s degree or equivalent, any specialty.
  • Experience in the Medical Device industry or medical field, preferably.
  • 2-4 yrs of professional experience

Required knowledge, skills, abilities, certifications/licenses and affiliations

  • Fully Bilingual (Spanish & English)
  • Fully competences in computer applications such as Word, Power Point, Excel, Outlook.
  • Excellent communication and interpersonal relation skills.
  • Ability to work independently or part of a team and builds effective and positive working relationships across the organization.
  • Strong organization and time-management skills with ability to manage multiple priorities.
  • Ability to work with confidential and sensitive information.
  • Ability to work with a high level of accountability and reliability.
  • Flexible and adaptable to changing priorities.
  • Commitment to compliance, accuracy, and continuous improvement
