Business Support Specialist

The Business Support Specialist is responsible for planning, organizing, and supporting a variety of Events while monitoring and controlling processes to ensure consistency, a unified approach, and accurate, timely tracking and reporting. This role entails delivering comprehensive data analysis, preparing and overseeing essential documentation, and facilitating effective communication with both local and regional teams. Moreover, the specialist will actively participate in the development and implementation of project planning and management initiatives.

Essential duties and responsibilities:

  • Planning, organizing and supporting both internal company events as well as educational Events with healthcare professionals in collaboration with travel agency
  • Accountable for coordination of all business-related processes, to ensure smooth execution of planned events
  • Responsible for administration of all relevant agreements and documentation
  • Constantly monitors all business relevant processes at every stage of the execution
  • Prepares and consolidates required data and analysis
  • Reviews and identifies effectiveness of existing programs and the needs of new program and system.
  • Designs, develops and implements various programs, projects and assignment aligned with functional process and service.
  • Works with functions and project manager to deliver project and resource plans that are consistent in approach and methodology and/or leads projects as assigned.
  • Supports project managers at project level to resolve issues and conflicts and report exceptions. Recommends corrective actions and initiative plans.
  • Provides coaching and guidance to less experienced team members.
  • Effectively communicates with local departments as well as regional team to ensure that all required documents are prepared timely and in place.
  • Accountable for implementing required data in local systems

Requirements (knowledge, education, skills):

  • 2-4 years of experience in Events business operations, sales support, commercial functions, or a related field.
  • Educational background: University Bachelor's Degree or equivalent.
  • Strong multitasking abilities with a commitment to event deadlines.
  • Proficient in project management and planning.
  • High learning agility with an openness to change and new ideas.
  • Exceptional communication and presentation skills.
  • Strong teamwork and collaboration abilities, with a proven track record of developing and maintaining collaborative relationships both internally and externally.
  • Outstanding organizational skills coupled with a results-driven mindset.
  • A strong sense of accountability and a commitment to perfection in execution.
  • Solid analytical skills with the capability to derive insights from data.
  • Proficient in MS Office, particularly Excel and PowerPoint.
  • Excellent command of the English language, both spoken and written.
  • High ethical standards in all business practices.

The anticipated base pay range for this position is:

zł121,000.00 - zł194,350.00

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
