Position Summary

The Business Support Admin for Surgery Spain provides high-quality administrative and operational support to the commercial organization, helping ensure smooth day-to-day execution across sales, marketing, strategic accounts, finance, customer service, and leadership activities. This role is responsible for coordinating business processes, maintaining accurate documentation and trackers, supporting meetings and events, following up on key actions, and helping the team operate efficiently in line with business priorities and company policies. The position plays an important role in enabling strong execution, organizational discipline, and timely support for the Surgery Spain team.

Key Responsibilities

  • Provide day-to-day administrative and operational support to the Surgery Spain business team, helping coordinate priorities, documentation, calendars, meetings, and follow-up actions.

  • Support preparation, consolidation, and maintenance of presentations, reports, trackers, meeting materials, and other business documents required for internal and external activities.

  • Coordinate meetings, business reviews, team events, and internal routines, including agenda support, logistics, documentation, minutes, and action tracking as needed.

  • Partner cross-functionally with Sales, Marketing, Strategic Accounts, Finance, Customer Service, Compliance, and other stakeholders to support coordination of business processes and timely execution of priorities.

  • Maintain accurate records, shared folders, trackers, purchase or vendor-related documentation, and other administrative files to support business continuity, transparency, and compliance.

  • Follow up on deadlines, approvals, budget-related administration, and outstanding requests, helping ensure that key business activities move forward on time and with the right level of visibility.

  • Prepare and update routine reports, dashboards, and status summaries that provide visibility on actions, issues, and progress across the Surgery Spain organization.

  • Identify administrative inefficiencies, process gaps, or coordination issues and proactively propose practical improvements that strengthen team effectiveness and execution quality.

  • Contribute to a well-organized, responsive, and collaborative team environment by ensuring reliable administrative support, clear communication, and disciplined follow-through on commitments.

Preferred Qualifications

  • Relevant experience in administration, business support, sales support, office coordination, commercial operations, or similar roles, preferably within MedTech, healthcare, pharmaceuticals, or another regulated environment.

  • Strong organizational and administrative skills, with the ability to manage multiple priorities, maintain accurate documentation, and work effectively with deadlines and changing business needs.

  • Demonstrated ability to coordinate across teams, communicate clearly, handle confidential information appropriately, and deliver high-quality support with professionalism and attention to detail.

  • Proficiency with Microsoft Office tools, especially Excel, PowerPoint, Outlook, and Word, along with experience using shared trackers, collaboration platforms, and business systems for routine administrative activities.

  • Fluency in Spanish and good working knowledge of English are highly valued, together with a service-oriented mindset, strong follow-up discipline, and the ability to support a dynamic commercial team.

The anticipated base pay range for this position is:

€28.700,00 - €46.805,00

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
